An exciting opportunity has arisen for an Administration Assistant to join our Discharge Lounge team.

The Administrative Assistant in the Discharge Lounge plays a key role in supporting the smooth and efficient discharge of patients from hospital care. The role ensures that all administrative processes are completed accurately and on time, enabling patients to leave the hospital safely and without unnecessary delays. Working closely with clinical staff, porters, transport and families, the postholder provides clerical, organisational, and communication support within a busy patient-focussed environment.

The successful applicant will need to have experience dealing with the general public; they will have good IT skills and remain calm under pressure in this challenging role, a good telephone manner, confidence and a positive helpful attitude is essential. Duties will include answering the telephone, filing, updating the discharge lounge tracker and using Careflow, Patient flow and other IT systems.

Full training will be provided for the successful candidate.

Main duties of the job

The postholder will be required to:

Receive/welcome new patients onto the Discharge Lounge and record time in and out, checking particularly on their records and ensuring notes are in order. Ensure identity bracelets available for nursing staff. 
 Escalate any patient or relatives queries or concerns to the Nurse in charge.
Keep up to date the live excel spreadsheet (Discharge Lounge tracker) of each patient entering the discharge lounge and the outstanding delays.
Answer the telephone, responding to questions or requests as appropriate.
 File Discharge Lounge paperwork into patient notes- eventually this will be done via scanning records directly onto Careflow.
Order transport for patients as requested by nursing staff, and monitor collection times.
Support the Discharge Lounge team with collection of discharge summaries from the wards.
Report identified maintenance defects to engineers, completing appropriate paperwork.
